Hudson’s Bay A/R Process
To be completed First week of every month.
- Log in to RQ4
- Open up Company profile for Hudson’s Bay Company
- Go to General, then tab titled “Accounts”
- Click on the link under column heading “account number”: NYORKAR221
- Click on NYROKAR221 to open current A/R statement
- Print all invoices from previous months, cross reference on the AR statement, then give AR statement and all invoices to Lucy
Globe and Mail A/R Process
To be completed First week of every month.
- Log in to RQ4
- Open up Company profile for Globe and Mail
- Go to General, then tab titled “Accounts”
- Click on the link under column heading “account number”: NYORKAR534
- Click on NYROKAR534 to open current A/R statement
- Print all invoices from previous months, cross reference on the AR statement, then give AR statement and all invoices to Lucy
MGS Reporting
Must be completed on the 15th of every month
Steps:
Templates are found in: Z:\CORPSERV\Account Managers\ROBERT GRAHAM\MOL\MGS Reporting\templates
- Create a new folder in Z:\CORPSERV\Account Managers\ROBERT GRAHAM\MOL\MGS Reporting
- Under the folder of the current year
- Titled for the month you are completing it for (e.g. August to September)
- Amend the three templates found in the following folder: Z:\CORPSERV\Account Managers\ROBERT GRAHAM\MOL\MGS Reporting\templates
- Change dates to reflect the current dates
- Add data if there were any MGS orders processed that month
- Send the “Raw Data Report” to: carlo.mastroluca@bell.ca, frederick.belanger@bell.ca , patrick.piche@bell.ca, susan.cummings@bell.ca and robg@wpci.com
- Send the “Bell – OPS Device Redistribution RRD” report and “SOM Service Order and Service Request Report” to: lindsy.kendall@bell.ca, patrick.piche@bell.ca, susan.cummings@bell.ca and robg@wpci.com

Sobey’s A/R Process
Statements for Sobeys will be from the 12th to the 11th of any given month.
To be completed on the week of the 15th of every month
- Open template from Corpserv this location: Z:\CORPSERV\Account Managers\ROBERT GRAHAM\Sobeys Monthly AR Statements
- In RQ4; Open up “Sobey’s Inc”
- Go to General and click tab titled “accounts”
- Click on the link under column heading “account number” to open up current A/R statement
- Create a new folder in the destination under the current year titled “Sobeys Statement {month name} 12 to {month name} 11”
- Open all invoices for the statement period, and save in the new folder created with the following file name:
- V271616-INYORKIN##### (For example, if invoice # is NYORKIN44488, the file name should be: V271616-INYROKIN44488)
- Open each invoice and insert data into spreadsheet. The date format must match the following: yyyy/mm/dd
- Send spreadsheet and all saved invoices in one email to Lisa.Leblanc2@sobeys.com with a copy to robg@wpci.com.
- Ensure the formatting on the spreadsheet is standardized. Numbers, Format, Text and alignment should all be the exact same format (use Format Painter to ensure they are all the same). Failure to Format this correctly will result in the spreadsheet being returned to us to redo.
Every invoice should have a mobile number and user name, if missing, you will have to go through the original order to obtain this information before you can submit for payment
Any invoice with two mobile numbers/users should be split using a v2 at the end of the label and add a row in the excel. For example, V271616-INYORKIN12345v2.
